Matrix regularly performs stock audits for some of its customers. One such customer is a reputable business that sells branded kitchen appliances, kitchenware, and electrical equipment. We performed a stock audit in one of their warehouses measuring 15,000 square feet with a team of six auditors including one team leader.

The Problem

The first reconciliation of the physical stock with the books revealed a deficit of 20 cases. According to the depot staff, the units were available but had been misplaced. They asked our team to wait while they checked with their supervisor. After some time, they returned, saying that the 20 missing cases had been discovered lying in a location that they could show our team. Our auditor remembered that he had marked a few cases with a "tick" mark along with the date for identifying purposes because he had previously verified a similar model.

The Solution

Our auditor promptly reviewed the 20 cases and found the "tick" mark and the dates. He immediately informed the depot manager that the cases had been already considered verified and reported. The depot manager then realised our auditor had caught him in the act. The manager immediately began yelling at his supervisor and staff for attempting to present the previously validated stock in an effort to cover up the situation.

The manager and the employees apologised for their blunder and left the area immediately. The depot manager accepted the report with the variance.

Great Results

Later that evening, the customer was informed of the depot supervisor's and employees' attempts to nullify the shortage. The fact that this was brought to our customer's attention delighted them. This audit demonstrates the auditor's exceptional observational abilities and the stock audit team's meticulous process of following the best practices.
